JOB DESCRIPTION
JOB TITLE: Office Manager
LOCATION: Laguna Hills, CA
REPORTS TO: CTO
The Office Manager provides support to the entire staff of Wallaby Medical,
Inc. He/she is responsible for interfacing with technical personnel,
expediting purchasing, accounts payable and receivable through a third-party
bookkeeper, recruiting/HR and scheduling for projects/meeting/conferences,
office reception, and other administrative duties. The Office Manager must
be capable of multi-tasking and wearing many hats at once.
PRINCIPAL DUTIES:
• Maintains office services by organizing office operations and
procedures; preparing payroll; controlling correspondence; designing filing
systems; reviewing and approving office supply requisitions.
• Maintains office efficiency by planning and implementing office
systems and procedures.
• Interface with company accounting firm to reconcile monthly
expenses and assign expenses to ledger accounts
• Maintains office staff training records
• Acts as company receptionist to ensure company guest are signed
in and directed to the correct person
• Receives all deliveries and verifies invoice to purchase order is
correct
• Maintains and updates inventory of engineering components
• Ensures company SOPs and engineering documents are filed
correctly
• Interface with HR service provider to ensure all HR policies are
implemented correctly
• Maintain employee HR files for all employee documents
• Track expenses against budgeted amount and update spreadsheet for
expenses
• Ensure NDAs are executed and filed
SKILLS and QUALIFICATIONS
• Supply Management
• Tracking Budget Expenses
• Manage Inventory Control
• Reporting Skills
• Proficient in Microsoft Office Suite, Adobe Reader
• Ability to work independently, Self-starter willing to accept
increasing responsibility
• Strong computer abilities, including troubleshooting Windows
errors and computer setup
• Excellent verbal/written communication skills
EXPERIENCE
• 0 - 4 years
EDUCATION
• BS/BA Degree

• Fluent in Mandarin Chinese
